Executive Administrator | Dallas, TX

The Executive Administrator will serve as the face of the Megatel Group when guests visit our office or call in directly. The Executive Administrator will interact with realtors and vendors (construction workers and other trades), as well as investment clients and other financial professionals. The Executive Administrator will also work with our Marketing department to create materials used by our Sales team to secure new business. Because of this diverse clientele, we need someone who is able to exhibit a high level of professionalism and the ability to interact appropriately depending on the visitor. This person must be personable, patient, efficient and able to problem solve as needed.

Responsibilities

We are looking for a candidate who has strong experience with and excels in the following areas:

  • Greeting visitors to Megatel as they come in to the office or call in by phone.
  • Connecting visitors with the appropriate people to help meet their needs, including finding the answers to all of their questions even when you don’t know the answer right away.
  • Direct guests to the appropriate meeting locations, offering them refreshments and making sure to make them feel welcome and comfortable within our office.
  • Setting up for and cleaning up after meetings, including ordering and setting up lunch for clients.
  • Responsible for creating shipping labels as needed through FedEx and LSO and scheduling courier pick-ups through courier service.
  • Maintaining schedule of various conference rooms and ensure that they do not become double booked.
  • Assistance with special projects for all departments of Megatel 
  • Willingness to work cooperatively with co-workers to accomplish tasks.

Experience & Background

  • Marketing and Administration experience preferred
  • Ability to create and format internal sales materials
