The Role

As a PRO Sports Club Spa Administrative Assistant, you will assist in the daily business operations of the Spa and Salon. The Spa Administrative Assistant will support the Spa Management Team in administrative projects and tasks, and provide exceptional customer service for the members and guests of the Spa at PRO Sports Club, while enforcing club/spa policies and procedures. You will engage with customers with enthusiasm and friendliness and a willingness to help. This position is also constantly in adherence to PRO’s core values and mission statement and is critical to the success of The Spa. 


  • Assists Spa Director, Operations Manager and Guest Services Manager
  • Provides accurate and timely follow through with management, provider and guest requests
  • Acts as Concierge as needed
  • Answers all telephone calls promptly and courteously, logs into reservations queue as necessary
  • Supports all education by creating and updating service provider training manuals when applicable
  • Set up new Spa and Salon cast members and complete New Hire folder and checklist
  • Coordinates assessments for new hires, basic and advanced training
  • Supports business with ensuring booking efficiencies for Spa and Salon service providers
  • Supports Spa Management with service provider schedule changes, breaks, trainings, vacations and time off requests in CSI and Calendar
  • Maintain accurate payroll information for service providers, verify time punches, training and   missed punches in Attendance Enterpris
  • Places weekly office supply orders as needed for Spa and Salon
  • Prepares agendas, order food, manage departmental contests/spa training dollars awarded to cast members and maintain meeting minutes for monthly service provider team meetings
  • Coordinates travel reservations as necessary
  • Assists in creating Moments of Magic
  • Reconciles and files receipts for administrative accounts
  • Track and maintain all Brilliant Distinctions Points
  • Monitor HIPPA compliance for all Spa Cast Members
  • Prepare all fiscal components and data for Cast Member reviews

Experience & Background

  • Post Secondary Education Preferred
  • Administrative/Secretarial Experience Preferred
  • Customer Service Experience Required
  • Knowledge of all spa and salon services and products
  • Knowledge of spa cast members’ positions and types of services performence
  • Knowledge of Microsoft Outlook, Microsoft Word, Microsoft Excel, Microsoft PowerPoint and and CSI preferred
  • Knowledge of multi-line telephone system
  • Customer Service background
  • Ability to communicate to all customers and cast members in a courteous, friendly and professional manner
